Job Description

The Argonne Collaborative Center for Energy Storage (ACCESS) is seeking a highly motivated executive assistant and events coordinator to play a critical role in supporting administrative and operational effectiveness for this cross-cutting center.

With a high level of independence, this role will be responsible for managing a broad variety of administrative tasks for the Center Director and staff, including senior management meeting coordination, support for ACCESS calendar and task management, and travel arrangements and expense reporting. As a key member of the ACCESS team, this individual will also be responsible for onboarding new team members and assisting them with ongoing tasks related to funding requests, quarterly reports, etc., and acting as the administrator/point of contact for the effective execution of subcontracts, procurements, etc. The executive assistant and events coordinator will also play a vital role in the organization and execution of ACCESS-related visits and events (conferences, workshops, and meetings) whether virtual, at Argonne, or other locations.

The successful candidate will:

  • Provide administrative support to the Center Director and staff.

  • Act as the administrative focal point for the exchange of essential information between ACCESS staff and relevant internal divisions/departments as well as external organizations.

  • Utilize various software packages and platforms to successfully conduct administrative tasks and manage events (including but not limited to Word, Excel, Outlook, Cvent, Zoom, Microsoft Teams).

  • Ensure compliance with laboratory and DOE policies and procedures.

  • Exercise independent judgement and discretion in addressing priorities, meeting deadlines, and finalizing tasks with accuracy and completeness.

  • Demonstrate a service-oriented outlook and passion for the mission of the laboratory.

Required Skills and Abilities:

  • Comprehensive ability to multitask and to manage multiple projects in an accurate and timely manner.

  • Ability to work successfully in a team environment and collaborate with peers.

  • Effective interpersonal and communication skills required to interface effectively, tactfully and discreetly with all internal/external contacts and to develop effective working relationships.

  • Experience in planning and executing (virtual and in-person) events for diverse attendee groups.

  • Ability to understand and articulate detailed and complex processes and associated policies and government regulations.

  • Comprehensive knowledge and understanding of business administration principles, methodologies, policies and procedures.

  • Considerable skill in establishing and maintaining effective working relationships.

  • Organizational skills, resourcefulness, creativity, and the ability to solve problems independently with attention to details.

  • Skill in independently setting work priorities, handling multiple assignments, and time management.

  • Ability to adapt to new procedures and technologies.
