Summary

The Department of Radiation/Oncology is seeking a Senior Coordinator, Program Management. This position provides administrative support for the Department of Radiation Oncology faculty and education programs, including undergraduate and graduate medical education and the graduate school for biomedical sciences. This role includes program management and development, accreditation, recruitment and day-to-day operations and knowledge in the systems utilized for all educational programs. The individual in this role serves as a liaison for the education programs with Undergraduate Medical Education (UME),Graduate Medical Education (GME), the Graduate School for Biomedical Sciences, internal departments, applicable external agencies, or trainees. 

 

We provide UME rotations for Baylor College of Medicine and visiting medical students. Our GME program consists of 8 residents and spans across 4 practice sites, BSLMC – Kirby Glen, Harris Health, MD Anderson, and the Michael E. Debakey VA Medical Center. In addition, we have 2 research post-docs and 1 graduate student from the Graduate School for Biomedical Sciences. We have 14 faculty positions in the Department of Radiation Oncology.  These faculty work across Baylor St. Luke’s Medical Center and Harris Health.    

 

This position may offer the flexibility of a hybrid work arrangement.
 

Job Duties

  • Collaborates with program leaders to develop and present long-term strategies to ensure the viability, growth and enhancement of programs.
  • Identifies, develops and implements policies and procedures to comply with residency and accreditation guidelines and provide guidance on changing regulations and institutional policies.
  • Coordinates the trainee recruitment process and onboards new trainees.
  • Schedules or coordinates lectures, evaluations, meetings, rounds, exams, seminars, training rotations, electives or special electives, duty/call schedules, ceremonies, or events. 
  • Creates, monitors, and tracks documentation of training and educational activities; assists with grade and evaluation collection and submission. 
  • Ensures timely completion of rotation and curriculum evaluations, residency case logs and entry into electronic databases.
  • Provides administrative support for the program director and other faculty, including maintaining calendars, scheduling meetings, ordering supplies, and preparing correspondence. 
  • Supervises the organization, audio/visual needs, and catering for meetings, conferences, events, certificate luncheons and graduation dinners.
  • Monitors and manages annual program budget, monitor expenses, secure resources/ funding.

Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.

Preferred Qualifications

  • A relevant bachelor's degree may be considered in lieu of experience.
  • Experience with Microsoft Office, especially Word and PowerPoint.
